Shopify wholesale invoices for B2B: net terms, POs and PDFs
Checked against the live sources below on 27 October 2026.
Wholesale buyers usually want a PDF invoice with your business details, an invoice number, a due date from agreed payment terms, and often their PO number. Shopify B2B, on Basic and above, can set net 7 to net 90 terms per company; the PDF invoice itself needs a template or an app such as FlatInvoice.
What B2B buyers usually need on paper
- An invoice number and date.
- The payment terms and the due date they produce.
- Their purchase order (PO) number, so their accounts team can match it.
- Your business name, address and tax registration, if you have one.
- Itemised lines and totals, in a file they can forward.
Ask your first wholesale customer what their accounts team requires before you send anything. It is faster than reissuing an invoice that was rejected.
What Shopify B2B covers
Shopify’s help center says B2B is available on Basic, Grow, Advanced and Plus, not on Starter or Retail, and that B2B customers are set up as companies. Its payment terms page lists: no terms (payment due immediately, the default), net 7, 15, 30, 45, 60 or 90 counted from the order date, due on fulfillment, and a fixed date on draft orders. Terms are set per company location, and the customer can see them on orders and pay from their account.
Two details matter. Payments are not captured automatically when terms expire, so you must collect them. And deposit requirements are available only on Plus. Draft orders can also carry negotiated wholesale prices and send an invoice with a secure checkout link.
The gap: a PDF invoice with a number
The invoice that a draft order sends is a payment request with a checkout link. A buyer’s accounts team often wants a PDF document instead. For that you need an order document template or an app.
FlatInvoice’s listing describes PDF invoices emailed when an order is placed, sequential numbering, and a VAT/GST tax ID line. The listing does not mention a PO-number field, so confirm that before you rely on it. The Starter plan is free for 25 invoices a month with every feature; the Flat Plan has a 7-day free trial.
Who actually needs this
If nearly all your orders are to individual shoppers, the standard order email is enough. If a handful of business customers order regularly, set up payment terms and a repeatable invoice. If you are mostly wholesale, look closely at the plan, since Shopify’s pricing page shows up to 3 B2B catalogs on Basic, Grow and Advanced.
A simple setup for a first wholesale customer: add the buyer as a company, choose their payment terms, receive or create the order, send the invoice, and record the payment when it arrives. Shopify’s help center notes that customers on terms can pay from their account any time before the due date, and that after the terms expire the order shows as overdue in their account.
